For exhibitors/vendors, the primary contact person is the respective organizer or a person assigned by them. This also applies during the event.
a) General Event Times:
SAMT CON takes place from Saturday, May 2nd to Sunday, May 3rd, 2026.
b) Opening Times for Visitors:
Saturday: 10:00 AM – 8:00 PM
Sunday: 10:00 AM – 6:00 PM
c) Booth Setup Times:
Friday: 4:00 PM – 8:00 PM
Saturday: 7:00 AM – 9:30 AM
d) Booth Dismantling Times:
Sunday: 6:00 PM – 10:00 PM
The place of performance and exclusive place of jurisdiction for all disputes between exhibitors/vendors and the organizer is Siegen, and in cases of disputes, the law applicable in the Federal Republic of Germany shall apply.
a) Verbal agreements, permits, and side agreements must be in writing and require the explicit approval of the organizer to be valid.
b) Any potential claims must be notified in writing to the organizer no later than 10 days after the end of the event and shall lapse if they have not been asserted in court before the end of the relevant calendar year.
c) Claims for compensation due to deterioration or reduction in value of the rented item shall expire within 12 months starting on the last day of the event.
d) The organizer and the exhibitor/vendor comply with all obligations under the Federal Data Protection Act.
Should a provision of these participation conditions be or become invalid or incomplete, this shall not affect the validity of the remaining provisions. Instead of the invalid provision, a replacement provision corresponding to or at least coming close to the purpose of the provision shall apply.
a) At SAMT CON, items relating to Manga, Anime, and Japan should be exhibited and sold primarily. The exhibitor/vendor must ensure compliance with applicable law, in particular the Youth Protection Act.
b) The exhibition of works whose distribution, exhibition, etc. are prohibited by the laws of the Federal Republic of Germany is not permitted. Advertising for these excluded works is also prohibited.
c) The organizer is free to deny exhibitors/vendors the sale of goods without giving reasons.
The sale of real weapons or sharp weapon replicas is strictly prohibited. However, the sale of blunt decorative weapons is permitted. With these, the stand operator must ensure that they are not issued to visitors under the age of 18.
Basically, the stand operator must also ensure that his offered products do not violate the German Weapons Act. Violations may result in exclusion from the event.
a) The sale of counterfeits, plagiarism, and unlicensed goods is prohibited. Only goods that have a clear copyright notice of the author may be offered.
b) In case of suspicion of unlicensed goods, the exhibitor/vendor is obliged to remove these products from sale at the instruction of the organizer. In case of repeated non-compliance, the organizer has the right to close the stand.
a) The exhibition and sale of self-made or commissioned food and beverages are prohibited. Exceptions are possible after written agreement.
b) The distribution of free samples is permitted, whereby compliance with applicable hygiene and food laws must be ensured.
c) The organizer assumes no liability for damages or injuries caused by the distribution of samples.
d) According to Section 11 Paragraph 2 LFGB, products with an exceeded best-before date must be specially marked or may not be sold.
a) It must be noted that many of the event visitors are minors, therefore goods not suitable for minors, glorifying violence, and pornographic goods may only be exhibited in the 18+ Area. Censorship bars are not considered sufficient, nor is storage unopened or inaccessible to minors. Goods not suitable for minors may not be issued in the public area even on request and against age verification.
b) Also falling exclusively under goods allowed in the area of the 18+ stands are nude motifs as well as figures which are clothed in the most precarious regions (e.g. lingerie), but perform provocative and/or sexually stimulating actions. The same applies to Ahegao products as well as figures, mangas/doujinshis, artbooks, and animes from the genre Yaoi, Yuri, Hentai, Horror, Splatter, Gore, and partly Ecchi.
c) In the public area, mangas/doujinshis, artbooks, and DVDs are still allowed if they do not belong to an erotic and/or violent genre (e.g. Yaoi, Yuri, Hentai, Horror, Splatter, Gore), but contain erotic and violent scenes to a small extent.
d) Mangas/Doujinshis, artbooks, and DVDs from erotic and/or violent genres (e.g. Yaoi, Yuri, Hentai, Horror, Splatter, Gore) are still allowed exclusively in the exhibition area of the license holders/publishing houses if they are completely sealed and kept inaccessible to minors. Censorship bars are not considered sufficient. The sale of such items may only take place upon presentation of a photo ID to adult visitors. A violation can lead to immediate exclusion from the event.
e) The sale of writings designated in §§ 184a and 184b StGB will be reported by the organizer.
a) The sale of Lucky Bags, surprise bags, and similar concepts is permitted in the area of the exhibitor stands under the condition that the exhibitor sends both an overview list of what can potentially be contained in the offered Lucky Bags and proof of the existence of the corresponding licenses to aussteller@samt-con.de by March 31, 2026 for review. Only the subsequent written confirmation by the SAMT CON team entitles to the sale of Lucky Bags or similar on site. Subsequent submission of documents or a check on site is not possible.
b) In addition to the goods and products mentioned in points 2.2 to 2.5, any sale of goods outside the rented stand areas and premises is prohibited.
c) Unless agreed otherwise contractually with the organizer, the sale of tickets for other events of any kind is prohibited.
a) Within our 18+ Area, we accept tattoo artists with appropriate stands to a limited extent. Tattoo stands are not allowed in the regular areas of SAMT CON.
b) When applying, a meaningful portfolio must be linked for each tattoo artist who is to perform tattoos at the stand.
c) Only self-designed motifs may be tattooed on site. Copies of existing or licensed motifs are not permitted. This also applies if a customer explicitly requests a motif excluded by our rules.
To ensure compliance, an overview of the motifs offered on site must be sent to aussteller@samt-con.de by March 1st. Subsequent additions are still possible in consultation with the organizer even after this deadline.
a) Companies and associations related to Japanese popular culture (e.g., German and foreign print media, radio & TV media, manga and anime publishers, dealers, distributors, and artists as well as Japanese fashion brands) can exhibit at SAMT CON.
b) Exhibitors/vendors against whom insolvency proceedings have been opened cannot exhibit or sell.
c) Private fan clubs, publishers of fanzines, and registered associations can exhibit in a separate area. Only goods from own production may be sold here.
d) Exhibitors must be of legal age and legally competent. A trade license is mandatory for participation as an exhibitor. Separate rules apply to fan stands.
a) Each exhibitor/vendor must apply independently with a stand and his offer. A joint application is not permitted.
b) You are a dealer if you import your assortment primarily from Germany or other countries. You are an artist if you produce and sell your works yourself.
c) Registration takes place via an online form. By submitting, the exhibitor/vendor confirms having read and accepted the conditions of participation.
d) The organizer reserves the right to reject applications without giving reasons.
a) The organizer provides exhibitor or vendor passes, the number of which depends on the size of the stand. Passing them on to third parties is prohibited.
b) In case of misuse or passing on, all passes will be invoiced. Misused passes will be confiscated without replacement.
c) Loss of a pass must be reported immediately. The exhibitor/vendor is liable for all damages caused by late notification of loss.
a) Every exhibitor/vendor will be included in the con booklet and on the homepage https://samt-con.de/Programm/Aussteller. Inclusion is mandatory and free of charge.
b) The entry is taken from the information in the registration form. Should the entry not be usable, the organizer reserves the right to write his own entry.
c) Booth numbers will be announced shortly before the start of the event to avoid last-minute changes.
a) Insurance of booth equipment, electronic devices, and exhibition goods against burglary, theft, fire, and water damage is the sole responsibility of the individual exhibitors/vendors.
b) The organizer assumes no liability for private items of the exhibitors/vendors.
c) The exhibitor/vendor is liable for all damages suffered by third parties or the organizer at the stand. This includes failure to provide assistance.
If provisions of these participation conditions are violated, the organizer can exclude the exhibitor/vendor concerned from the event, in particularly serious cases also from future events of CultureFusion UG.
After receiving admission, withdrawal from the application is possible:
a) More than 61 days before the start of the event: free withdrawal
b) 60 to 31 days before the start of the event: 50% of the booth rent
c) Less than 30 days before the start of the event: 100% of the booth rent
a) Table dimensions:
1.30m x 0.70m for the upper area
1.20m x 0.70m in the lower area
b) Booth size for vendors: min. 2.00m length to max. 10.00m, depth of 3.00m
c) Exhibitors and vendors are obliged to occupy their booth continuously during opening hours.
d) Dismantling before the end of the official event times is only permitted by arrangement.
e) Should a booth not be vacated after the specified dismantling time, the organizer reserves the right to clear the booth at the expense of the exhibitor/vendor.
a) The booths are provided by the organizer with the booked equipment.
b) Used fabrics and materials for decoration must be flame-retardant impregnated (B1).
c) The space of a booth area can also be rented as an open space and furnished yourself.
d) The rented booth areas must be returned empty and swept clean.
e) The booth equipment must be returned in perfect condition. Restoration is at the expense of the exhibitor/vendor.
a) Additional power supply must be selected under additional services when booking. Subsequent change requests cannot be guaranteed.
b) The organizer assumes no liability for any power supply failures.
c) The organizer is not liable for any damage caused by the use of the power connections.
d) The organizer does not provide extension cables or power strips.
a) If Wi-Fi access is required, this can be booked for a fee in the exhibitor portal when booking the stand or subsequently until March 31, 2026 at the latest. The purchase of Wi-Fi access is also possible on site at the exhibitor information desks (while stocks last).
b) Any liability of the organizer for the technical implementation of a network, the transmission quality as well as transmission speed and availability of the internet connection managed by the operator of the event location is excluded.
a) The prices for the booth rent are listed in the online form. The total amount is calculated from the sum of the desired individual items.
b) The organizer reserves the right to increase or reduce the booth rents if unforeseen events require this. This increase may not exceed 10% and must be reported in writing at least 4 weeks before the start of the event.
c) Special conditions must be noted on the admission confirmation/invoice and become valid if no written objection is made within one week.
a) The transfer must be made within the period stated on the admission confirmation without deductions stating the invoice number.
b) The exhibitor/vendor loses the right to participate if the rent has not been received on time.
c) For transfers with incomplete information or deductions, a processing fee of 10 Euro gross will be charged.
d) The organizer reserves the right to charge fees of max. 10 Euro gross for each reminder letter issued.
a) Should costs arise during the event, these are to be paid directly at the event or within 30 days after the end of the event.
b) In case of payment delays after the event, default interest of 3.0% is to be paid.
The organizer provides separate parking facilities.
a) The available parking spaces are likely to be located behind the Siegerlandhalle. The parking spaces are distributed at the discretion of the organizer.
b) Parking is only permitted in the designated exhibitor parking spaces. Wrong parking will be punished with a fine of 100€ and affected vehicles will be towed away at a cost.
The organizer does not accept any shipments such as packages, deliveries, or other items.
The use of electronic media of any kind (e.g. laptop, beamer, audio or TV systems) is only permitted subject to compliance with the Technical Guidelines of the Siegerlandhalle.
Every exhibitor/vendor is obliged to register GEMA independently and pay fees if he uses GEMA-liable media. Any liability of the organizer for unpaid GEMA fees is excluded.
Demonstrations must not impair the event activity at the surrounding stands. Loudspeakers must be directed towards the inside of the stand. The organizer can issue warnings up to cutting off the power in case of violations.
Electrical devices operated at the stand must comply with the currently valid BGV A3 standard. The devices may not be operated unsupervised at any time.
The booth operator is liable for damages caused by electrical media used by the booth operator.
a) Attaching advertising material within one's own stand area to wall surfaces, columns, entrances, stairwells, etc. is prohibited. A suitable stand should be used.
b) Outside of one's own stand area, it is prohibited to show, distribute or attach banners/displays or advertising material of any kind, unless this has been contractually agreed with the organizer.
c) Placing advertising and sales carts on the event grounds is only possible for a fee and after consultation with the organizer.
d) Should circumstances require the removal of unapproved advertising material, the person responsible will be charged the full cost of this.
Receptions, lectures, press conferences, discussion events, raffles, etc. on the hall grounds require the written consent of the organizer.
In addition to these participation conditions, the house rules of the Siegerlandhalle posted in the entrance areas during the event apply.
a) Every exhibitor/vendor is jointly responsible for the success of SAMT CON. Actions that disturb, hinder, or endanger the event, visitors, or other exhibitors/vendors must be refrained from.
b) It is one of the duties of every exhibitor/vendor to cooperate in preventing thefts and ensuring that discovered thefts are prosecuted.
c) Film, sound, and photo recordings are only permitted for private purposes without consultation with the organizer and with the consent of the person(s) recorded.
d) Unattended bags, backpacks, etc. must be reported to the organizer immediately.
e) The exhibitor/vendor is not permitted to stay at his stand during the night. The general guarding of the SAMT CON site is undertaken by the organizer.
f) In an emergency, exhibitors/vendors are obliged to follow the instructions of security personnel and rescue and public order forces unconditionally.
g) Grossly negligent behavior can lead to immediate exclusion. In this case, the exhibitor/vendor will not be refunded the booth rent.
Commercial security supervision during the event is carried out in cooperation with the Siegerlandhalle.
The organizer takes care of cleaning the aisles.
a) Booth structures are handed over in a documented condition. Cleaning of the booths is the responsibility of the exhibitor/vendor.
b) Exhibitors and vendors will be charged costs for the disposal of waste paper and mixed waste. The costs are not included in the normal booth rent.
c) Residual waste accumulated at the stand can be disposed of in the containers provided by the Siegerlandhalle. Billing is done by CultureFusion UG.
d) Boxes must be broken down or folded to save space.
